Permanent – 37.5 hours per week

£25,146 per annum

 About the role
 As a Procurement Administration Assistant, you will be responsible for working within DHU processes and systems to procure clinical and non-clinical goods and services at the best possible best value, along with supporting colleagues in the updating and maintenance of vendor/supplier management activities, updating database, including contract reviews and pricing exercises. There is the opportunity to learn and progress in a busy but supportive environment, as well as the pursuit of CIPs and other opportunities.

Responsibilities:
  • Be responsible for processing purchase requisitions, extensive communication with internal customers and external suppliers in order to provide a comprehensive procurement service responsive to service needs and of a high standard.
  • Support DHU in driving best value for money through the purchasing/procurement service.
  • Support the purchase to pay processes enabling the timely payment of invoices. Inclusive of supporting requisitioners in receipting of purchase orders and validating for payment.
  • Act as a focal point for procurement for internal customers and suppliers, responding to all product/service and procedural procurement-related queries in line with team KPIs.
  • Support the resolution of invoice queries collaboratively with the finance team when needed.
  • Undertake specific project work with users as approved by the Procurement Manager.
  • Interrogate the purchasing system to evaluate information relating to purchase requisitions, orders, and suppliers.
  • Be responsible for planning and prioritising own workload with support from the Procurement Manger/Assistant Procurement Lead, using own skills and initiative to ensure all target deadlines are met.
  • Attention to detail and accuracy is a requirement to fulfil this role.
  • Extensive use of Microsoft applications (including Word, Excel, Outlook).
  • Proven analytic skills - analysis of information, interpreting and presenting findings, using MS Excel and PowerPoint.
  • Knowledge and skill in purchasing and procurement processes an advantage.
  • Effective communicator both verbally and in writing to internal and external stakeholders.
  • Maintain accurate records and filing (electronically).
  • As you will expect the organisation may change from time to time and you will be expected to meet the operational requirements.

     Essential Skills:
  • Math’s & English GCSE, ‘O’level or similar. 
  • Experience working with and interpreting financial information.
  • Accomplished in excel to calculate and present pricing information.
  • Able to demonstrate a high level of IT literacy including Excel, Word, Outlook, and PowerPoint packages.
  • Good communication skills with a professional approach
  • Travel to other locations will be necessary from time to time.
  • Strong desire to work as part of a team and collaborative with others across the organisation in a professional customer focused manner.
  • Proficient numeracy skills and strong analytical and statistical ability.
  • Ability to communicate clearly and effectively in English in both verbal and written formats.
  • Ability to present information clearly and effectively both verbal and written.
  • Confidentiality and discretion. 
  • Ability to work on their own initiative.
  • Motivation and capability to learn and develop within the role.
  • Confidence to admit errors and learn from them.

Desirable Skills:
  • Experience in a similar role is desirable.
  • Experience of working within a busy Purchasing/Procurement department desirable
  • General commercial awareness
  • Previous experience of working in NHS or Healthcare organisation desirable.
  • Working towards or CIPS qualification or similar.
