An exciting opportunity has arisen within our NHS 111 Division for an experienced, highly organised and professional Personal Assistant to provide high-level support to the Directors and Heads of Service of DHU 111.
As NHS 111 Personal Assistant, you will be at the heart of the division, helping senior leaders stay organised, prepared and connected. You will support diary management, meeting coordination, communication, documentation and general PA duties, helping the division run smoothly and effectively.
About the role
You will provide confidential and professional PA support to the Directors and Heads of Service, ensuring they are well prepared for meetings, appointments and key commitments.
You will manage diaries, coordinate meetings, prepare agendas, take minutes, follow up actions, arrange travel and support internal and external communications. You will also help maintain office systems, manage correspondence, organise visitors and support wider divisional activity when required.
This role will require someone who can work with discretion, confidence and attention to detail, while building strong relationships with colleagues across DHU.
As NHS 111 Personal Assistant, you will:
- Provide confidential PA support to the Directors and Heads of Service DHU 111
- Manage complex diaries and prepare supporting documentation for meetings
- Coordinate communication between senior leaders, internal teams and external stakeholders
- Arrange, attend and minute meetings, ensuring actions are captured and followed up
- Prepare documents, briefing papers, reports and presentations
- Manage correspondence, emails, telephone calls and general enquiries professionally
- Maintain effective office systems, including data management and filing
- Support internal and external meeting arrangements and events
We are looking for someone who has:
- Strong organisational and diary management skills
- Experience providing PA, secretarial or administrative support
- Confidence supporting senior leaders or busy management teams
- Experience taking accurate minutes and following up actions
- Excellent written and verbal communication skills
- Strong IT skills, including Word, Excel, PowerPoint and Outlook
- High attention to detail and accuracy
- The ability to prioritise and manage competing demands
- A professional, discreet and confidential approach
- A proactive, positive and resilient attitude
- The ability to work independently and as part of a team
