£22,816.00 per annum 
37.5 hours per week, Monday – Friday

Purpose of the Role
The post holder will support the People & Culture Partners and Advisors, in delivering a comprehensive and professional service to all customers in relation to People & Culture Administration tasks. You will be responsible for assisting the People & Culture Business Partners and Advisors, in developing and implementing effective HR Administration processes and development of strategies to enable DHU to deliver its strategic objectives. Enabling DHU to deliver the highest possible quality of care to patients, ensuring efficient and effective P&C Administrative support.

Key Areas of Responsibility & Accountability     
Specific duties: 
Provide a comprehensive People & Culture Administration service to all customers, with professionalism at the forefront following standard operating procedures. Duties will include: 
  • Responsible for processing all monthly payroll items for all employees in line with policy and procedure; meeting payroll deadlines.
  • Responsible for the processing and correspondence for all CoC’s within a timely manner 
  • Responsible for inputting and maintaining payroll related trackers (e.g., Maternity, RTW, new starters etc.) with attention to detail and accuracy.
  • Responsible for the creation of employment contracts for changes. 
  • Responsible for filing of any employee related documentation on employee records. 
  • Responsible for inputting and maintenance of DBS data into HRIS, including renewal maintenance.
  • Responsible for updating and maintaining HRIS with accurate employee information such as but not limited to; personal information, CoC’s, probation and Leavers. 
  • Responsible for the creation and maintenance of ID Badges and SMART Cards 
  • Responsible in ensuring the maintenance of employee files in line with GDPR, CQC requirements and best practice. 
  • Responsible for updating monthly appraisal reports and distributing to relevant People & Culture Partners and operational management. 
  • Responsible for accurate verification, recording and collation of ID documentation. 
  • Providing support across People & Culture, Organisational Design and Talent Acquisition teams at times of high volumes of work. 
  • Collating and providing data/reports from HRIS as and when required.
  • Undertake/and or assist with ad hoc People & Culture projects when the need arises, such as but not limited to CQC audits, TUPE, or Management of change (MOC). 
  • Responsible for responding to general People & Culture queries from managers and staff by e-mail, phone or in person; providing professional, accurate, consistent, and timely responses. 
  • Escalating concerns to People & Culture seniors when required.
  • Accurate and consistent generation of general correspondence, including letters, minutes, emails, and reports.

Essential Skills:
  • A good general standard of education, including English and Math's GCSE or equivalent.
  • Working towards Level 3 CIPD qualification or equivalent.
  • IT proficiency in Word, Excel, PowerPoint, and Outlook.
  • Strong HR Administration skills with a minimum of 1+ years' experience working in an HR environment.
  •  Experience of GDPR and file management and maintenance.
  •  Experience of updating and maintaining a HRIS.
  •  Experience in working with operational managers and staff.
  •  Experience in accurately inputting, collating, and analysing data.
  •  Excellent interpersonal and communication skills.
  •  Excellent Organisational skills with a methodical approach.
  •  Ability to work alone and within a team.
  •  Attention to detail/ accuracy.
  •  Comfortable working in fast paced environment.
  •  Occasional requirement to work in the evening and at weekends with notice.
  •  Occasional travel to other sites when required.
  •  Confidentiality, discretion, and tact – enabling trust.
  •  Positive, adaptable, and flexible.
  •  Team player.
  •  Able to build rapport with colleagues/employees.
