At DHU Healthcare, we are seeking a highly organized and proactive individual to join our Clinical Governance Department as a key administrative support professional. In this vital role, you will provide comprehensive secretarial and administrative services to the Corporate and Heads of Clinical Governance, contributing to the effective and efficient delivery of departmental operations. You will play an essential part in supporting meetings, managing diaries, handling correspondence, and ensuring the smooth running of governance processes that underpin the organisation’s commitment to patient safety, quality, and continuous improvement.
What your typical day looks like:
- assisting in maintaining the diary for the Corporate / Heads of Clinical Governance ensuring that appropriate supporting documentation is provided to them relating to appointments
- processing correspondence and ensure all mail, including the outlook mailbox, is effectively and efficiently managed in a timely manner
- managing the external post within the department e.g. letters sent to complainants and external documents received
- Co-ordinating queries and take telephone calls for the Corporate / Heads of Clinical Governance as required in a professional manner, ensuring details and messages are passed through as appropriate in a timely fashion
- Taking minutes of meetings and capturing action points at meetings from Microsoft Teams recordings
- Maintaining appropriate secretarial filing, retrieval and record systems within the department
- Managing the staff compliments process – i.e. logging on Datix, notifying line managers and Senior Leadership team, drafting letters to staff from the Chief Executive
- Meet and greet visitors for the Corporate / Heads of Clinical Governance ensuring that they are well looked after with refreshments, informed and guided to the relevant meeting room
To be a successful in this role, you will need:
- GCSE English/Maths or equivalent
- Qualifications and/or training in current information and office technology (Microsoft packages)
- Previous significant Secretarial experience
- IT literacy skills in Word, Excel, PowerPoint
- Able to travel to other locations when required
