Personal Assistant to the Chief Medical Officer, Medical Director and Director of Pharmacy
Location: Derby, Roundhouse with occasional travel to DHU sites including Oldbury, Chesterfield and Leicester.
Working Pattern: Full-Time, 37.5 hours per week. Permanent

The purpose of the role is to provide a high level, confidential Personal Assistant and business support service to the Chief Medical Officer (CMO), the Medical Director and the Director of Pharmacy.
As a Personal Assistant, you will:
- To proactively manage the diaries of the Chief Medical Officer, Medical Director and Director of Pharmacy, prioritising and resolving competing executive, operational, clinical and external demands, and protecting time for clinical sessions and strategic work.
- To ensure the directors are well prepared for all meetings, with travel arrangements, papers and briefings provided in good time.
- To prepare documents, board papers, briefing papers, reports, business cases and presentations, including production of accurate documents from dictation and handwritten or digital notes.
- To co-ordinate the directors’ board and committee cycle, including Board, Executive, Clinical Governance and Quality, Audit and Risk, Medicines Governance, Safeguarding and Information Governance forums.
- To maintain forward planners for these meetings, commission papers from contributing authors, chase submissions to deadline and quality assure documents against DHU house style and template requirements before submission.
- To arrange, attend and minute meetings chaired by the CMO, Medical Director or Director of Pharmacy, producing accurate minutes and action logs and following up actions to completion.
- To maintain confidential trackers for patient safety incident investigations, serious incidents, complaints, coroner’s requests, inquests and Regulation 28 responses, monitoring deadlines and escalating any risk of slippage.
- To co-ordinate the flow of documentation for Care Quality Commission activity, including evidence requests, registration matters and provider information returns, and to maintain an accessible evidence library.
- To provide PA and business support to the Director of Pharmacy across the pharmacy service arms, liaising with lead pharmacists and clinical leads in NHS 111, Urgent Care and Primary Care.
- To liaise with external partners and regulatory bodies as directed, including Integrated Care Board medicines optimisation teams, NHS England and the MHRA.
We are looking for someone who has:
- Significant previous PA experience at executive or board director level
- Recognised PA/Secretarial/Word Processing qualification eg OCR/RSA 3 or equivalent
- A good general level of education including GCSE English/Maths or equivalent, grade C or above
- Experience of servicing formal committees, including agenda preparation, minute taking and action tracking
- Experience of handling highly confidential and sensitive information
- Experience of preparing board or committee papers, reports and presentations
- Proficient IT literacy skills in Word, Excel, PowerPoint, Outlook, Teams and SharePoint
- Sound understanding of confidentiality, data protection and the Caldicott principles
- Professional communication skills at all levels, including with regulators, commissioners, coroners’ offices and partner organisations
